Birthday Party Terms & Conditions
Booking & Deposit
To reserve your party date, a non-refundable deposit of 25% of your selected party package is required at the time of booking. Your party date and time will not be secured until the deposit is received. This deposit will be applied toward your total party balance.
Final Payment
The remaining balance is due on the day of your scheduled party and must be paid immediately after the event has ended. Failure to submit payment at that time will incur a $100 late fee and may result in additional penalties or restrictions on future bookings.
Please note: All party package prices are subject to applicable sales tax, which will be included in your final invoice.
Guest Waivers & Play Requirements
For the safety of all guests, every attendee—both children and adults—must sign a waiver before entering the play area. Waivers can be completed online in advance or on-site upon arrival. Guests who have not signed a waiver will not be permitted to participate in play.
Sock Policy (Strictly Enforced)
• Grip socks are required for all children in the play area.
• Children may wear their own grip socks or purchase Cozy Village grip socks for $4 at the front desk.
• Adults must wear regular socks in the play space.
• Bare feet are not permitted for children or adults.
Failure to comply with our sock policy may result in guests being denied access to the play area.
All children must remain supervised by a parent or guardian at all times.
Outside Food
Guests welcome to bring outside food for your celebratio; however, any outside food must be handled solely by the party guests. Preferanly typical birthday party foods and dry, easy-to-serve items. Examples include pizza, sandwiches, fruit trays, veggie trays, chips, cupcakes, cookies, and birthday cake.
All food must be fully prepared and ready to serve upon arrival. For safety and operational reasons, we do not allow food warmers, burners, hot plates, crockpots, or any other heating equipment in the space. Cozy Village Play Cafe staff will not serve, heat, refrigerate, or manage any outside food items. Additionally, we are unable to accommodate foods that require on-site preparation, cooking, or assembly.
To help us maintain a clean and safe play environment for children, we kindly ask that families avoid bringing foods that are excessively messy or prone to spills. This includes items such as saucy dishes, rice-based meals, or foods with heavy sauces or liquids.
We appreciate your understanding and cooperation in helping us keep the space clean, safe, and enjoyable for all families.
Decorations & Facility Rules
• Nothing may be hung on the walls or ceiling without express, written permission from Cozy Village Play Cafe.
• Attaching anything to the walls using tape or adhesives is strictly prohibited. Any client who applies tape to the walls will be assessed a $250 fine for damages, regardless of whether damage is immediately visible.
• If you would like to bring additional décor, please contact us at party@cozyvillageplaycafe.com at least one week in advance to coordinate drop-off or setup.
• Confetti, glitter, and piñatas are not allowed under any circumstances.
• Any excessive damage to our space, equipment, or property will be the responsibility of the customer reserving the space, and repair or replacement costs will be billed accordingly.
Outside Entertainment Policy
To ensure a safe, high-quality, and seamless experience for all guests, all outside entertainment services must be arranged directly through Cozy Village Play Cafe.
This includes, but is not limited to, services such as princess or character visits, balloon artists, face painters, performers, and any other third-party entertainment.
• Outside entertainers are not permitted unless they are booked through Cozy Village Play Cafe.
• We work exclusively with a list of approved and preferred vendors who are familiar with our space, policies, and safety standards.
• If you are interested in adding entertainment to your party, please contact us in advance and we will coordinate all arrangements on your behalf.
Any outside entertainment services that are not pre-approved and booked through Cozy Village Play Cafe will not be permitted on the premises.
Cancellation Policy
We understand that plans can change. If you need to cancel, the following policy applies:
More than 4 weeks before the party date:
Your 25% deposit will be forfeited, but no additional payment is required.
2 to 4 weeks before the party date:
A cancellation fee equal to 50% of the total party cost will apply and be charged to the card on file.
Less than 2 weeks before the party date:
The full party balance will be due immediately and charged to the card on file. No refunds will be issued.
All cancellations must be submitted in writing via email. The effective cancellation date is the date your written notice is received.
Rescheduling
We understand that unexpected situations can arise. If you need to reschedule your party, please contact us as early as possible. While we cannot guarantee availability, we will do our best to accommodate your request based on our calendar.
Weather-Related Cancellation Policy for Birthday Parties
The safety of our families and staff is our top priority. In the event of snow or other severe weather, Cozy Village Play Cafe may need to cancel or postpone scheduled birthday parties.
If We Cancel Due to Weather
• Decisions are made based on local weather conditions, road safety, and school or government advisories.
• If Cozy Village Play Cafe cancels a birthday party due to inclement weather, we will work with you to reschedule your celebration based on availability.
• If rescheduling is not possible, a credit will be issued for a future birthday booking. Credits are non-refundable.
If Guests Choose to Cancel
If we remain open and a family chooses to cancel their birthday party due to weather concerns, standard birthday cancellation policies apply.
